Every major AI system has the same core functionality, but each one calls it something different. This guide matches them up, so you can find the equivalent feature in whatever tool you actually use.
"CoPilot" is a family. This sheet means M365 CoPilot — the chat surface inside Word, Excel, Outlook, and Teams, the one most execs encounter at work — unless flagged. Copilot Studio is the separate agent-building product, called out where relevant.
| Concept | Claude | ChatGPT | M365 CoPilot | Gemini |
|---|---|---|---|---|
| A single conversation | Chat | Chat | Chat | Chat |
| A new thread | New chat | New chat | New chat | New chat |
| Underlying model selector | Model dropdown (Sonnet / Opus / Haiku) | Model dropdown (GPT-5, etc.) | Mostly hidden; "Smart" vs "Quick" | Model dropdown (Pro, Flash) |
| Web access | "Web search" tool toggle | "Web" toggle | Built-in (BizChat / Work mode) | Built-in |
| Concept | Claude | ChatGPT | M365 CoPilot | Gemini |
|---|---|---|---|---|
| Persistent "about me / how to respond" | Settings → Profile → "What should Claude call you" + traits | Settings → Personalization → Custom Instructions | Limited; partial via "personalization" settings | "Saved info" / personalization |
| One-off role for this chat | Just write it in the prompt | Just write it in the prompt | Just write it in the prompt | Just write it in the prompt |
| API-level system prompt | "system" parameter | "system" role | N/A for end users | "system_instruction" |
"Custom Instructions" in ChatGPT and "Profile traits" in Claude do similar things but apply differently. ChatGPT's are global. Claude's profile is global; Project instructions override per-project. M365 CoPilot has the weakest per-user personalization.
| Concept | Claude | ChatGPT | M365 CoPilot | Gemini |
|---|---|---|---|---|
| A folder for related chats + files + instructions | Projects | Projects | Pages + grounded sources | Gems (closest, but lighter) |
| Upload reference files | Drag into Project or chat | Drag into Project or chat | Reference files via @mention or attach | Add files in Gems / attach |
| Auto-grounding in your company data | No (must upload) | No (must upload) | Yes — M365 graph (SharePoint, OneDrive, email, Teams, calendar) | Workspace grounding (Drive, Gmail, Calendar) — varies by edition |
M365 CoPilot's killer feature is auto-grounding in your company data. Claude and ChatGPT require explicit uploads. Gemini sits in between. For CoPilot users, knowledge-library work happens in M365 itself — folder structure, naming, permissions. For Claude/ChatGPT users, it's about uploading and structuring files into Projects.
| Concept | Claude | ChatGPT | M365 CoPilot | Gemini |
|---|---|---|---|---|
| A reusable "do this kind of work this way" | Claude Skills | Custom GPTs | Agents (Copilot Studio) or simpler Prompts | Gems |
| Lightweight reusable prompt | Project-level instructions | Custom GPT description | Prompt library / saved prompts | Gem |
| Sharing with team | Skill share (org or public) | GPT shared via link or workspace | Agent shared via M365 admin | Gem shared in workspace |
This is the row most likely to cause confusion. Teach "build a skill" and a CoPilot exec will hunt for a button labeled "skill" and find nothing. Translation: in CoPilot the same idea is an Agent (heavier, built in Copilot Studio) or a saved Prompt (lighter). Most execs only need the lighter version to start.

|---|---|---|---|---|
| Reusable voice / tone | Styles (chat-level) | Style baked into Custom GPT or Custom Instructions | Tone presets per task | Built into a Gem |
This whole ring is the most volatile vocabulary. The principle — trust calibration, bounded delegation, verification — is stable. The buttons move every six months.
| Concept | Claude | ChatGPT | M365 CoPilot | Gemini |
|---|---|---|---|---|
| Recurring scheduled task | Scheduled Tasks (Claude Code / Cowork) | Tasks (in ChatGPT) | Power Automate flows triggered by Copilot | Scheduled actions (limited) |
| Concept | Claude | ChatGPT | M365 CoPilot | Gemini |
|---|---|---|---|---|
| Connect to external systems | MCP servers (Model Context Protocol) | Actions in Custom GPTs; Connectors | Connectors + Power Automate | Extensions + Workspace apps |
| Built-in tool catalog | MCP marketplace | GPT Store actions / Apps | M365 admin connectors | Extensions |
MCP (Anthropic-led, now adopted broadly) is becoming the cross-vendor standard for tool connection. Worth knowing the term even if not every exec's tool uses it yet.
| Concept | Claude | ChatGPT | M365 CoPilot | Gemini |
|---|---|---|---|---|
| Persistent memory across chats | Limited (Project-scoped) | Memory (global, user-controlled) | Personalization signals from M365 graph | Saved info / personalization |
ChatGPT's Memory is the most aggressive at remembering — users should know they can view and delete it. Claude is more conservative by design. CoPilot's "memory" is your M365 activity, not stored conversational memory.

|---|---|---|---|---|
| Agent that plans + executes a multi-step task | Claude Agents (Sonnet w/ tools), Skills with tools, Claude Code | GPT Agents (formerly Operator-style), Custom GPTs w/ Actions | Copilot Studio Agents, Researcher / Analyst agents | Project Mariner, Gemini agents (research, deep research) |
Regardless of tool, these stay true. This is what the curriculum actually teaches.
Context, Charge, Constraints, Cut. Durable. Every model rewards specificity in these four dimensions.
Durable. AI is a relationship, not a feature.
Tool → Collaborator → Delegate. Durable. Every tool maps to these.
Durable. The artifact's name changes — Skill / GPT / Agent / Gem — but the practice is the same.
Durable. Every automation needs verification regardless of platform.
